Terms & Conditions

For authors of accepted papers. By proceeding to camera-ready and registration, all authors accept these terms.

Presentation

  1. T1
Live presentation is compulsory. A registered author named on the paper must present it personally, in person in Goa or online. Proxy presenters are not permitted. Under IEEE’s no-show policy, a paper that is not presented is withheld from IEEE Xplore regardless of registration.
  2. T2
Allotted session only. Papers must be presented only in the allotted session and time slot. Presenting in another session, or disrupting one, is not permitted; a presentation made outside the allotted slot without prior written approval by email from the organisers is treated as absent (a no-show). Requests to change the allotted session or slot are considered only if received by November 3, 2026.
  3. T3
Online presentation issues. For an online presentation, a claim of a technical glitch on the organisers’ side must be supported by a timestamped screenshot and is accepted only by email to riceconvenor@gmail.com sent during the allotted session time. Claims raised later are not entertained.

Manuscript

  1. T4
Similarity. No more than 15% overall and no more than 2% from any single source, references excluded. IEEE CrossCheck is run on every camera-ready paper.
  2. T5
References. Every in-text citation must appear in the reference list and every listed reference must be cited. More than two self-citations, or references unrelated to the work, are not permitted.
  3. T6
Formatting. Papers must use the official IEEE conference template without changes to its header or footer. Tables and equations must be editable, not images; figures and tables must be numbered and cited in order. Only the IEEE PDF eXpress-validated file is accepted for publication.
  4. T7
Language and originality. Undeclared AI paraphrasing, tortured phrases, serious grammatical problems or recycled content may lead to rejection at any stage.
  5. T8
Deadlines. Camera-ready papers and other required documents received after the published deadline are late and may attract additional charges. Paying the registration fee does not extend any deadline.

Authorship

  1. T9
Authors only. The organisers act only on submissions and correspondence from authors named on the manuscript. Requests from anyone else are not processed, and no claim arising from them is entertained.
  2. T10
Changes to the author list. The title and author order are frozen at camera-ready. Adding, removing or reordering authors after acceptance is strongly discouraged. If a genuine contributor was omitted by mistake and there are valid reasons and proof of that person’s involvement, the authors must send, before the camera-ready deadline, an undertaking from the head of the institution of every author confirming the change, together with a copy of the request sent to all authors and each author’s written acknowledgement. Requests without these documents are not considered, and the organisers’ decision is final.

Registration and payment

  1. T11
Registration. At least one author of each accepted paper must register. Registration is accepted only through the official KonfHub page. Each registration covers a paper of up to 6 pages and one presentation certificate; additional pages and additional certificates are charged at ₹1,000 each. Early-bird rates apply only to registrations completed by the final registration date.
  2. T12
Who may pay. The registration fee must be paid by one of the authors named on the paper, or by an author’s affiliating institution as named on the paper. Where an institution pays, the organisers may ask for an undertaking from that institution. Payments made by anyone else — including agents, consultants or other third parties — are not accepted, and no registration, refund or other claim will be entertained on the basis of such a payment. The organisers reserve the full right to ask for the source of the registration funds.
  3. T13
Payment is not publication. Registration alone does not guarantee publication. Publication also depends on meeting every deadline, presenting the paper in the allotted session, and completing all other formalities, including the camera-ready upload, PDF eXpress validation and the IEEE eCopyright form.
  4. T14
Fees and refunds. Registration fees are non-refundable and non-transferable. No refund is given if a deadline is missed, the paper is not presented, or any formality is not completed. Applicable taxes and bank or payment-gateway charges are borne by the author at actuals, as per government norms.
  5. T15
Withdrawal. A request to withdraw must be made in writing to riceconvenor@gmail.com, signed by all authors, before registration is completed. Once registration is complete no refund or transfer is possible under any circumstances, including withdrawal after the camera-ready copy has been submitted.

Research integrity

  1. T16
Conditional acceptance. Acceptance is conditional on integrity. If signs of malpractice or unethical practice are found at any stage from submission to publication, the paper will be dropped and the authors will not be eligible for any claim, including any refund.
  2. T17
What counts as malpractice. Including, but not limited to, proxy authorship, proxy presentation, citation padding, authorship fraud, plagiarism, duplicate submission, fabricated or falsified data, peer-review manipulation, undisclosed generative-AI use, and undeclared conflicts of interest or missing ethics approvals.
  3. T18
Verification. The Technical Program Committee may ask for raw data, code, experiment logs, ethics approvals or institutional confirmation of authorship. A full response is due within four (4) days; failing to respond is itself grounds for action.
  4. T19
Final decision. The decision of the Technical Program Committee is final and binding, and no representation will be entertained. A paper that does not meet these terms may be withdrawn from the proceedings with no eligibility for any claim.

Communication and publication

  1. T20
Official channel. riceconvenor@gmail.com is the only official channel. Messages through other email IDs, WhatsApp or phone are not official and cannot support any claim or request. Please quote your Paper ID in every message.
  2. T21
Publication. Papers that are accepted, registered and presented will be submitted to the IEEE Xplore Digital Library, subject to IEEE’s scope and quality requirements. Content in IEEE Xplore is in turn submitted to Scopus for possible indexing.

These terms apply to RICE 2026 (11th International Conference on Research in Intelligent Computing in Engineering, IEEE Conference Record #71332), 5–6 November 2026, Goa, India. The organisers may update them; the version on this page is the one in force. Last updated: October 9, 2026.
